A letter from the Ausländerbehörde (immigration office) about a Termin invites you to an appointment — often to apply for, extend or collect a residence permit. Bring every document on the list, arrive on time, and contact the office in advance if you cannot attend. Apply for an extension before your current permit expires.
Who sends this letter?
The Ausländerbehörde is the local immigration office responsible for residence matters of non-EU citizens. Its name differs from city to city — for example Ausländeramt, Amt für Migration, Welcome Center or, in Berlin, Landesamt für Einwanderung (LEA). Asylum procedures themselves are handled by the Federal Office for Migration and Refugees (BAMF), not by the local Ausländerbehörde.
An appointment letter may be an Einladung (invitation), a Terminbestätigung (confirmation of an appointment you booked) or a request to come in person (Vorsprache) to submit documents, give fingerprints, or collect your electronic residence permit (elektronischer Aufenthaltstitel, eAT).
What the letter usually contains
- Date, time, address and room — and often a file number (Aktenzeichen). Quote it whenever you write.
- The purpose, for example Verlängerung (extension) of your Aufenthaltserlaubnis (residence permit), a first permit, or the handover of the eAT card.
- A list of required documents (Unterlagen). Typical items: valid passport, biometric photo, current residence permit, application form, proof of health insurance, proof of income (employment contract, payslips) and your rental contract or Meldebescheinigung.
- Information about fees (Gebühren) and how to pay them.
- Sometimes a deadline by which you must send documents.
Fiktionsbescheinigung: if your permit expires during the procedure
If you apply for an extension before your current residence permit expires, your residence status generally continues while the office decides. To prove this, the office may issue a Fiktionsbescheinigung (provisional certificate). This is why it is so important to apply on time. If you notice that your permit will expire soon and you have no appointment, contact the office in writing right away and keep proof that you applied.
Letters that need special attention
Some letters are more than an invitation: an Anhörung (hearing) means the office is considering a decision against you and gives you the chance to comment first. A Bescheid (decision) may come with a deadline for legal remedies. In immigration matters some deadlines can be shorter than one month — read the Rechtsbehelfsbelehrung carefully and get advice quickly from a counselling service or a lawyer.
